Position Summary:

The Tax Specialist will be responsible for Tax Filing research, contact with Local, State and Federal Tax authorities, coordinate activities between the Tax Filing services employed by the Company, initiation of new accounts, changes to existing accounts, and responding to tax related issues for the Company’s Clients. Making timely payments to agencies and filing all payroll related returns for our clients.

Essential Duties:

The Tax Filing Specialist will;

o Tax Filing changes and setup o Verify that all Tax Forms and agreements are present and properly executed o Send all Tax Filing agreements to proper Tax Filing Service o Review the accuracy of the data entered by the Tax Filing Service o Identify and resolve missing Tax Deposit Liabilities o Investigate, determine the status and resolve Payroll tax related notices from Tax Authorities o Perform tax Filing research for the Company and its clients o Update the appropriate fields in the Tax Filing Client Action database o Weekly review of current Client Actions o Reconcile impound errors from Tax Service companies o Identify problem o Prepare resolution o Route to proper Departments or Tax Service for corrections o Review each resolution o Quarterly
o Reconcile Quarterly variance reports from Tax Filing companies o Identify problem o Prepare resolution o Route to proper Departments or Tax Service for corrections o Review each resolution o Annual o Supports the client satisfaction and production goals of the department o Assists in problem-solving in regard to client issues o Make timely tax payments to state, local and federal agencies o File all monthly, quarterly and annual payroll returns o Prepare and maintain written procedures for all processes performed by the Tax Filing Department

Excellent communication skills, PC literate, Organized, ability to effectively meet deadlines; Payroll Tax Knowledge from check calculations to payments to filing of payroll returns; high volume production atmosphere, Knowledge and use of Microsoft Office, Scheduling Applications, and Office Automation experience. Quality service oriented

Education / Training / Certifications:

Previous Training, Certifications, and Advanced Education in Payroll or Accounting related curriculum is required.

Decision Making:

Tax Filing Department is expected to make day to day decisions regarding processing, solving tax filing problems and other related matters that are within the area of responsibilities and are consistent with the prevailing Department and Company policies.

Financial Responsibilities:

Responsible for impounding and payment of all tax liabilities.

Communication:

Excellent oral and written communication and analytical skills required. Must be able to work under time constraints and meet daily, weekly, monthly, quarterly and annual deadlines.
