Position Summary: Payroll Specialist is responsible for accurately keying or importing client Payroll and related Payroll information, Accounting Transactions (General Ledger, Accounts Payable, etc). Payroll Specialist ensures that data submitted by clients reconciles to data keyed by review and comparing control totals. The Payroll Specialist may be required to key Employee Master File and money information, from conversion files. Payroll Specialist will be assigned specific clients to service and support all aspects of their payroll process from quality assurance procedures for ensuring accurate data entry or importing, running special processes, correcting master file information, and other related issues. Payroll Specialist will work with clients and associates towards automating data conversion efforts from fax & paper being keyed to Excel spreadsheet or Internet input. Customer Service calls for non-Internet & PC clients will be handled by the Payroll Specialist. Payroll Specialist may be required to work with other team members and / or contact clients by telephone to reconcile discrepancies between control totals provided and information keyed or to ask for additional information as may be required from time to time. Essential Duties: The Payroll Specialist' s primary responsibilities will be to accurately enter Payroll and Accounting transactions. Occasional telephone contact may be required to clients to request additional information, clarify information transmitted, or resolve discrepancies in control totals provided versus the keyed information. As Payroll Specialist you will be responsible for: Accurately enter client payroll data on a timely basis Accurately enter client accounting data on a timely basis Verifying the accuracy of keyed information to source documents & Control Totals Resolve differences with immediate supervisor as necessary Call clients to resolve differences When feasible will convert & train clients to Excel Spreadsheets for submitting Payroll & Accounting data Uses effective problem solving skills to resolve data discrepancy issues Performs payroll adjustments runs for all clients Provides support to the Payroll Manager Maintains a team orientation in dealing with fellow associates Provides quality service Learn and trouble shoot all time and attendance systems Other Duties: Other related or new duties may be assigned to the Payroll Specialist in other areas of the Company to provide additional backup and support. Education / Training / Certifications: Previous Training, Certifications, and Education in Payroll or Accounting related curriculum is a plus. The Company encourages Employees to obtain job related Certifications. Participation in Web-based training is key. Decision Making: Payroll Specialist is expected to accurately enter Client Payroll & Accounting Information, and other related matters that are within the area of responsibilities and are consistent with the prevailing Department and Company policies. Financial Responsibilities: None. Communication: Excellent oral and written communication and analytical skills required. Must be able to work under time constraints and meet daily, weekly and monthly deadlines. Supervisory Responsibilities: None. Equipment / Software Used: Personal Computer, Internet, Calculator, MS Office (Word, Excel, Outlook) Skills: Must have excellent telephone skills, be able to function in a team environment, and be PC literate.
